How to use AI to respond to an RFP

AI can reduce the time spent reading, classifying and reconcile the information. It does not replace the decision to respond or the validation of the final commitment.

Start by structuring the file

A call for tenders often brings together regulations, specifications, annexes, models and questions and answers. The first value of AI is to group these pieces into a single space and preserve their provenance.

Each file must be identified with its role, version and status. This step prevents a summary from using an outdated annex or an important requirement from disappearing into a secondary document.

Extract what conditions the response

AI can identify requirements, deliverables, deadlines, eligibility criteria and evaluation methods. Useful results are presented with the exact citation and relevant page so that an maintainer can confirm them.

The distinction between extracted fact and interpretation is essential. A date written in the regulations does not have the same status as a conclusion deduced from several passages.

  • Mandatory and desired requirements
  • Dates and delivery methods
  • Eligibility criteria
  • Evaluation criteria and weightings
  • Administrative documents expected
  • Clauses requiring a legal review

Build a compliance matrix

The matrix brings each requirement closer to the evidence available in the company: references, certifications, procedures, profiles or technical capabilities. It also reveals missing elements before writing begins.

AI can suggest matches, but their validation remains human. Only probable proof should not be presented as acquired compliance.

Prepare a response from internal sources

A private knowledge base allows validated elements to be reused without blindly copying an old answer. The system finds the relevant passages then adapts them to the context of the file.

The content produced must maintain its link with the evidence. This traceability facilitates review by the commercial, technical and legal teams and reduces assertions that are difficult to justify.

Protect a sensitive commercial advantage

The tender documents contain the customer's needs, but the response also brings together methods, prices, references and know-how. Sending this information to a public service without a suitable framework can create an unnecessary risk.

A private solution makes it possible to define the processing environment, the authorized users, the accessible corpora and the traces preserved. Confidentiality thus becomes a property of the entire process.

Maintain human validation

The decision to participate, the contractual interpretation, the commitment to a deadline and the validation of the price remain human responsibilities. AI prepares, reports and reconciles; it should not involve the company alone.

The best gain comes from a clear distribution: the machine processes the volume and finds the evidence, while the experts arbitrate, complete and approve.
